These are the terms and conditions you agree to when you access services at Tic Tac Toe Early Childhood Psychology.
Tic Tac Toe Early Childhood Psychology is not an emergency service and all appointments must be made in advance. In case of emergency or an immediate risk of harm to others or self-harm by your child, please call 000 for an ambulance or attend your nearest emergency department.
Payment for sessions is required by the invoice due date. This includes appointments which have a Medicare rebate or NDIS reimbursement.
If you nominate a third party to make payments for services on your behalf, you agree to remain liable for any costs incurred if the third party fails to make payment or your claim with that third party is denied. This includes but is not limited to Medicare, NDIS, Moira, DHHS, DSS, CareConnect, LifeAssist, Connections and Anglicare. If a third party prepays for service, we cannot issue a refund to you directly but only to the third party.
You agree to a home session questionnaire via phone prior to your first session taking place. In the event of this questionnaire not occurring, a home session cannot be carried out. During home sessions, at least one parent/guardian is physically in the home for the entire duration of the psychology session. The psychologist reserves the right to cease a home session at any time, or do not conduct a home session, if there are a health and safety concerns.
Tic Tac Toe reserves the right to cancel or deny services to you at any time.
We provide “Early Intervention” and “Therapeutic Supports” directly under the NDIS at the NDIS approved price. If you self-manage your NDIS funding, we require payment by the invoice due date, and you can then submit the paid invoice for reimbursement directly with NDIA if the service complies with supports approved under the NDIS Plan.
Travel cost will vary for NDIS participants, depending on your location Tic Tac Toe will discuss the psychologists travel time with you prior to commencing services and must have the agreement of the client in advance of claiming associated costs. Our session fee for Medicare home visiting psychology sessions are low and will differ to NDIS funded participants.
E-mail reminders are sent automatically 3 days before your appointment. Please note that failure to receive an e-mail does not mean your appointment is cancelled. If in doubt, please contact Tic Tac Toe.
Tic Tac Toe securely stores client data in paper files, local computer files and in the cloud. Under the Privacy Act (1988) client information will be kept confidential and secure. For services with children and young people under 18 years of age, records are kept until that person reaches 25 years of age. Client information held in the electronic systems of Tic Tac Toe are secured with a password, allowing only the professionals and administrators involved with you or your child’s care to access these. All paper documentation provided to Tic Tac Toe will be held in a locked filing cabinet. There are strict guidelines as to who can access this information. If information about you or your family is requested from a professional outside of the service, your verbal or written consent will need to be given before this is passed on. If verbal consent is given, this is noted in the records.
When appointments are booked, the psychologist reserves the whole session for your child and makes specific plans for therapeutic intervention. A fee will be charged for non-attendance when less than 48 hours cancellation or rescheduling of a session. Please note there are no Medicare rebates for a cancellation fee, and you can not use third party funding to pay the fee.
You understand that in Victoria, registered psychologists are mandatory reporters in relation to concerns about a child or young person at risk of being abused.
Tic Tac Toe reserves the tight to change these terms and conditions of service at any time for any reason and you agree to be bound also by any future terms and conditions.
